If you send an enquiry through the contact form, we collect the details you choose to provide. This is likely to include:

• name
• email address
• business or company name, if provided
• project type
• budget or timeline, if provided
• message content

Our website infrastructure may also process limited technical information needed to deliver and protect the site, such as a request time, page address, browser type and approximate location.

When we identify a business that may benefit from our services, we may record limited professional information from public sources. This can include a contact's name and role, a business email address or telephone number, the business website and publicly available information about its current customer experience.

Sources may include the business's own website, Google Business Profile, Companies House, an official social profile or another public professional source. We record where the information came from and use it only for relevant business-to-business contact, managing replies and avoiding unwanted repeat contact.

We use personal information to:

• respond to enquiries and discuss potential work;
• send limited, relevant business-to-business introductions where applicable marketing rules allow us to do so;
• manage conversations, follow-ups and service delivery;
• record objections, opt-outs and failed addresses so we do not contact them again; and
• protect our services and meet legal obligations.

We generally rely on our legitimate interests in developing BuiltBy2 and offering relevant services to corporate contacts. We balance those interests against the contact's rights, keep outreach proportionate and do not use legitimate interests to override consent requirements that apply under electronic marketing law. Enquiry handling may also be necessary to take steps towards a contract.

Our outreach identifies BuiltBy2 and provides a simple way to opt out. You can reply "no thanks", ask us not to contact you, or email support@builtby2.co.uk. We will stop direct marketing and keep only the minimum suppression information needed to respect that choice across future outreach. We do not sell business contact information or use it for automated decision-making.

Contact form emails are sent using Resend. The BuiltBy2 website does not store enquiry submissions in a database in the current version. We use Google Workspace for email and may use trusted hosting, analytics and business administration providers to operate our services. They process information for us under their contractual and data-protection commitments.

We may also share information with professional advisers or service providers where that is reasonably necessary to operate the business, meet a legal obligation or establish, exercise or defend legal claims.

The site uses Vercel Web Analytics to understand aggregate page views, referrers and basic device or location patterns. Vercel describes this service as cookie-free and based on anonymised data. The site also uses Vercel Speed Insights to understand aggregate page-performance measurements. We do not intentionally use advertising pixels or session-replay tools on this website.

Some infrastructure and email suppliers may process information outside the UK, including in the United States. Where UK law requires it, those transfers are covered by recognised safeguards made available by the relevant supplier, such as the UK Extension to the Data Privacy Framework or contractual transfer terms.

We keep enquiry and prospect information only while it remains useful for the purpose described above, normally for no longer than 24 months after the last meaningful contact unless a longer period is required for a client relationship, dispute or legal obligation. We may retain a minimal suppression record for longer so that an opt-out or permanently failed address is not contacted again.

Depending on the circumstances, you may ask us for a copy of your personal information, ask us to correct or delete it, restrict its use, or object to how we use it. The right to object to direct marketing is absolute: if you object, we will stop using your personal information for that purpose.
